Unattended Retail Store Management System

The Unattended Retail Store Management System is an integrated store-operations platform developed in-house by Shenzhen Xiaozhushou Technology for 24/7 unmanned retail. It brings operators, agents, store owners, stores, devices, products, orders and profit sharing into a single back office — so “unattended” really is attended, visible and accountable.

Project background

Unmanned stores stall in three places as they scale. Stores are scattered and their status is opaque — headquarters cannot tell whether a store is open today, whether a device is offline, or whether nobody is ordering. Devices are islands — access control, cameras, gateways and self-checkout sit in different vendors’ consoles, so a fault waits for the owner to phone it in. And the money does not add up — every order has to be split between operator, agent and store owner, and manual reconciliation drags on and invites dispute.

The client wanted one back office that keeps people, stores, devices, stock and money under control without giving up the unattended experience: headquarters sees the whole picture, agents and owners each run their own patch, and data never crosses a level boundary.

Design goals

  • Everything on one board — orders, revenue, shared income, operators, agents and stores on a single dashboard, with today, last 7 days, last 30 days and custom ranges.
  • Operation in tiers — operators, support staff, agents and store owners each get their own account record and can only view and act on data under their own name.
  • Devices linked — cameras and gateways are registered under the store they belong to; online status refreshes in one click and offline devices show up immediately.
  • Transparent sharing — profit sharing completes the moment an order is created; amount, status, payee account and time are traceable entry by entry.

System architecture

The system is organised into six areas — dashboard, operating master data, store master data, operations management, billing and statements, and system administration — with more than 20 functional modules covering the whole chain from opening a store through daily operation to reconciliation and settlement.

Core modules

Below, module by module. Each one solves a specific nuisance in unmanned-retail operations.

01

Dashboard

Orders, revenue, shared income, operators, agents and stores in one screen, with store sales ranking, product sales ranking and order-trend charts, filterable by period.

02

Multi-level accounts

Operator, support, agent and store-owner accounts are recorded separately, with the sharing ratio configured at account creation and password reset supported; data between accounts is isolated by design.

03

Store lifecycle

Create, edit and delete stores and refresh unattended status; a mini-program code plus entry and exit QR codes are generated with the store and can be downloaded with the storefront photo, ready to post on site.

04

Device management

Cameras, gateways and other devices are registered under their store, with cloud IP, port and device-status lookup; online status refreshes in one click and offline devices are distinguished in the same list.

05

Products and stock

A platform product library keeps prices and stock in one place, with Excel template import and export; store-level prices can be set per store, adjusted with the store and exported for the record.

06

Operations risk control

Blacklist by mobile number with a configurable ban scope, plus edit, restore and delete; walk-outs and vandalism — the two most common problems in unmanned stores — get an enforceable response.

07

Billing and profit sharing

Sales orders and store sharing records are written entry by entry; amount, status, payee account and time are all queryable, and orders drill down to detail.

08

System and permissions

Departments, roles, users, menus, dictionaries, parameters, operation logs and login logs, with data permission configurable per role and every critical action leaving a trace.

Outcome

  • One back office covers 20-plus modules; four roles sign in at one entrance and are routed by permission, so no separate system is needed for each level.
  • Store onboarding went from “configure each one” to “create the store, get the codes” — the mini-program code and entry and exit QR codes are generated with the store and can be posted as soon as they are downloaded.
  • Exceptions such as an offline device or a failed sharing surface both on the dashboard and in the list, moving the problem from “wait for the owner to complain” to “see it in the system first”.
  • A complete 55-page user manual with 98 annotated screenshots was delivered, covering the operating path of every module, so a new colleague can start from the manual.
