Park Cleaning & Security Attendance Management System

The Park Cleaning and Security Attendance Management System (Donghuan Shuzhi) is an integrated operating platform for park property teams. Cleaning, security, mechanical operations, vehicles, equipment and attendance scheduling all live in one system — from rostering to clock-in, from task dispatch to hours accounting, the whole flow runs online.

Project background

Work management in park property has long relied on paper rosters and WeChat groups: dozens or hundreds of cleaners and guards belong to different projects and shifts, and rosters are filled cell by cell in Excel. Attendance is a paper sign-in sheet and month-end hour counting takes two or three days. Vehicles, equipment and insurance are registered in scattered places — too often an expired inspection or policy is discovered only after an incident.

The client runs several park projects at once and wanted one system to control people, vehicles, equipment, tasks and attendance, with data isolated between projects — the manager of project A cannot and should not see project B’s people and accounts.

Design goals

  • Projects kept apart — permissions exist at company and project level; a project role applies only inside its project and cross-project data is invisible by default.
  • Rostering automated — shifts, cycles and work areas are configured first, then the roster is generated in batches by cycle instead of being clicked person by person.
  • Attendance you can check — clock records, attendance results, correction requests and hour statistics form a closed loop, so a dispute has evidence behind it.
  • Dispatch on site — one board shows where people are and where tasks stand, with exceptions and help requests visible immediately.

System architecture

The platform is organised into system administration, people management, project management, manual operations, command and dispatch, my tasks, vehicle management, mechanical equipment, and mechanical, sweeping, water-spraying and waste-collection operations — covering the full chain from a worker entering the project to settling the work.

Core modules

Below, module by module. Each maps to the part of daily park property work that most often goes wrong.

01

Organisation and permissions

Company profile, organisation tree and position system, with two sets of role permissions at company and project level; permissions reach module, page and action, and projects are isolated from one another.

02

People lifecycle

The personnel ledger covers onboarding, transfer, cross-project support and departure, with bulk import, bulk account creation and badge printing; employee number, project, department, position and line manager sit on one screen.

03

HR workflows

Leave, temporary overtime, special-post requests, cover requests, cross-project transfer, special-personnel filing and incident registration all go through a configurable approval workflow.

04

Insurance

People and vehicle insurance record the insurer, policy number, coverage and term separately, with scanned policies attached; renewal is reminded 30 days before expiry.

05

Rostering and attendance

Once shifts, cycles and work areas are configured, the roster is laid out as a calendar by person and area, with bulk and cycle fill; attendance results summarise expected and actual attendance, late arrival, early leave, absence and overtime.

06

Command and dispatch

The dispatch board sums up today’s attendance, vehicles on duty, open work orders and exceptions, marks people on a map and refreshes on a timer; inspection assignments, work orders and help alerts are handled at the same entrance.

07

Vehicle management

The vehicle ledger, insurance, transfer, inspection, incidents, servicing, fuel and water, repairs and fuel cards are all archived digitally; inspection and service due dates are reminded automatically and vehicles that fail are blocked from dispatch.

08

Machinery and operations

Machine types, IT equipment, servicing and repairs are maintained together; mechanical work, mechanical sweeping and watering, waste collection and transfer are each planned and rostered, and task plans can be issued by work area.

Outcome

  • Rostering moved from hand-filled Excel to cycle-based generation; a roster for dozens of people takes minutes, and changing a shift no longer means rebuilding the sheet.
  • Attendance results are summarised automatically and hour reports export in one click, cutting month-end accounting from two or three days to a single export.
  • People and vehicle insurance, inspections and servicing are reminded before they fall due, so certificates and policies no longer depend on memory.
  • The dispatch board puts “where people are, where tasks stand, who needs help” on one screen, and exception response no longer relies on phone relay.
